1. Poor print quality: ink smears or weak print

This is a simple solution, but it's a common problem on the phone. The first thing you need to check is the tape and label material you are using. There are three types of printing ribbon: wax, wax resin, and resin. That is, wax tape is the cheapest and suitable only for paper labels, while resin tape is suitable for synthetic labels (such as polypropylene or vinyl).

Wax and resin ribbons are suitable for printing on paper labels and synthetic materials when the print does not need to withstand chemical attack or harsh environments. Very often in the workplace, members of staff are not aware of the differences between commercially available printing ribbons, even though they have taken over the printer.

If you are using the correct ribbon, the next thing to try is to reduce the speed or increase the temperature of the print head and see if the print quality improves. If the coating of the label material you're printing on has changed, you may need to adjust your print settings accordingly. This can usually be changed in the settings window when you click to print.

Ideally, the printer temperature should be set as low as possible to achieve acceptable print quality in your application.

2. Error connecting to printer

This is a common problem faced when setting up a new computer. You may have downloaded the correct label software and connected all the cables as shown above, but you have not downloaded and installed the correct printer driver for your Windows operating system.

Your printer manufacturer must make these driver files available on their website for you to download and install. Simply search Google for the corresponding manufacturer and model number along with "printer driver" to get the critical files that allow your PC to communicate with your printer.

3. Tape not transferring to label

Check which direction the printer ribbon is inserted. These can rotate the ink inward or outward. Settings vary depending on the model you have and how you wind it to your printer. It's very likely that you tried to print using the wrong side of the ribbon.

4. Labels are not passing through the printer correctly

This may be a problem with the sensor that detects gaps between labels or registration marks. The sensor may be clogged or simply very dirty. A quick wipe with a cotton swab or printer cloth will resolve this issue.

Bonus tip: Make sure your printer driver settings match your installed label software.

5. Squeaks when printing.

This could be due to a mechanical failure in the machine, a part of the machine being dislodged, or a label stuck under the print head. Avoid printing further as the problem may worsen over time.
